Tour Conditions for J-Tripper
1. Outline
(1) Explorers Japan Inc. (hereinafter referred as EXJ) is the responsible company to arrange a tour under the brand name of J-Tripper.
(2) EXJ provides a day trip private tour of one same party up to six persons in Tokyo and the peripheral areas which consists of selected destinations on the J-Tripper web site.
(3) EXJ provides itinerary planning service and an English-speaking guide service (hereinafter referred as the tour guide service) to accompany the client.
(4) EXJ makes reservations in advance for selected destinations of tour as necessary . The client must pay the deposit when required.
(5) EXJ does not make arrangement for accommodation, and does not make reservations for transportation nor purchase the tickets in advance.
(6) The tour fare paid by the client includes itinerary planning service and tour guide service. The client must separately bear all the costs of any other items such as transportations, entrance tickets, souvenirs, and accommodations. The client also must pay the tour guide's cost during the tour such transportation, admission fee, and meal fee.
2. Application flow
(1) Prior to the formal application, the client shall send inquiry application to EXJ with necessary information such as the number of applicants, the date of the tour and the list of desired destinations provided on the J-Tripper web site by the web form to check the availability of the tour.
(2) EXJ must inform the client of the availability of the tour in accordance with the inquiry application including the availability of the tour guide and feasibilities of the desired destinations with some sample itineraries and comments by e-mail within 48 hours after receiving the inquiry application. When the tour seems available, EXJ must send the client the list of the candidate tour guides.
(3) The client must send the formal application with necessary information including the name of the hotel in Tokyo to EXJ within 72 hours after receiving the information in the Article 2(2). The client also shall select and inform EXJ of the name of the tour guide from the list sent by EXJ; otherwise, the list of the candidate tour guides becomes invalid.
(4) After EXJ has received the formal application, the tour guide and the client shall communicate by e-mail to finalize the tour itineraries before the date of the tour. The guide will try to meet the client's request to the reasonably practical extent. The client's request must be directly relevant with the tour.
(5) EXJ reserves the right to change the tour guide even after the conclusion of the tour contract without paying any penalty charge. In this case, the client can cancel the tour contract without paying the cancellation charge to EXJ, excluding the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc, and the charge shall be paid by the deposit.
3. Time of entry into effect of a tour contract
A tour contract enters into effect when EXJ has received the formal application and agreed to conclude it. When the client selects the destinations to be required for deposit payment, the contract does not come into effect until EXJ has received the payment.
4. Contract document
As soon as a tour contract has come into effect, EXJ shall provide the client by e-mail or web form with a contract document confirming the tour services.
5. Special conditions of tour application
(1) A client under 20 years of age and traveling alone must provide EXJ with written consent of her/his guardian. Client under15 years of age must be accompanied by a parent or a guardian.
(2) Clients who require special attention from EXJ for her/his health problems such as allergies, pregnancy, previous illnesses, chronic diseases and so forth, shall inform and discuss this matter with EXJ when submitting the inquiry application. EXJ shall try to meet such requests to the extent reasonable and feasible; however, they cannot be guaranteed.
(3) EXJ also reserves the right to refuse the client's application for the tour operational reasons.
6. The day of the tour
(1) On the day before the day of the tour, the tour guide can contact the client's hotel in Tokyo to identify the client's check-in.
(2) The tour guide will meet the client at the client's hotel. Before starting the tour, the tour guide must confirm the client with a written document about the tour itinerary and estimated costs on the day as already planed before. The client must sign the document to show the consent and pay the tour fee to the tour guide. Other fees such as transportation fees, meal fees, and entrance fees shall be pay-as-you-go?
(3) The tour guide will carefully try to take the client to the planned destinations. The tour fee shall not be refunded if the planned destinations cannot be completed due to time constraints and any other reasons not attributed to the tour guide's gross negligence. In addition, the tour fee shall not be refunded if the tour contents are below the client's expectation including the contents of the selected destinations and the tour guide's knowledge or language skill.
(4) The tour guide take the client back to the hotel once the tour concludes. If the tour guide has paid the cost for the client during the tour, the client must pay back all the cost before the end of the tour.
7. Tour fare
(1) Price
1 day (8 hours): 42,000 JPY
Half day (4 hours): 26,250 JPY
5,250 JPY per one hour incurs as over time charge

(5) Expense of the tour guide
The client also must pay the tour guide's cost during the tour such transportation, admission fee. The client must pay meal expense for the tour guide as 1,000 yen for lunch and 1,500 yen for dinner unless the client bears all costs of meals when the tour guide joins the meal with the client.
8. Cancellation before the tour begins
(1) Cancellation by the client
The client may cancel the tour contract before the tour begins by paying cancellation charges as specified by EXJ.
腹 20 days before the service begins ---------10% of tour fare.
腹 3 to 5 days before the service begins ---------20% of the tour fare.
腹 2 days before the service begins ---------50% of the tour fare.
腹 The day before the service begins ---------100% of the tour fare.
In addition to the cancellation charges, the client must pay the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc. In this case, the charge shall be paid by the deposit.
(2) Cancellation due to a cause arisen from the client
EXJ reserves the right to cancel the tour contract in the following cases:
- If the client, who would like to pay for the deposit by PAY PAL, has become unable to settle the payment.
- If the client's requests are beyond the reasonably practical extent, and EXJ judges it difficult to implement the tour arrangement.
In these cases, the client must bear cancellation charges. In addition to the cancellation charges, the client must pay the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc. In this case, the charge shall be paid by the deposit.
(3) Cancellation due to a cause arisen from EXJ
The client may cancel the tour contract if it is impossible to arrange or implement the tour due to causes arisen from EXJ. In this case, EXJ shall refund the client the tour fee already received.
(4) Cancellation due to a cause arisen from acts beyond EXJ's control
EXJ may cancel the tour or revise its contents for any of the following reasons: natural disaster, weather conditions, civil unrest , war, accident, government order , suspension of services by transportation or accommodation facilities, and other causes beyond the control of EXJ. In this case, EXJ shall refund the client the tour fee already received excluding the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc. In this case, the charge shall be paid by the deposit.
9. Cancellation after the tour starts
(1) Cancellation by the client
The client may cancel the tour for personal reasons after the tour starts. In this case, the tour fare shall not be refunded. In addition to the cancellation charges, the client must pay the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc. In this case, the charge shall be paid by the deposit.
(2)Cancellation by EXJ
EXJ may cancel the tour contract after the tour starts in the following cases:
- When the client is unable to continue the tour due to illness or other reasons.
- When the client seem to disturb the tour activities by negligence of instruction from the tour guide or violent actions or menace towards other persons of the tour, the guide, and any the people related with the tour.
In these cases, the tour fare shall not be refunded. In addition to the cancellation charges, the client must pay the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc. In this case, the charge shall be paid by the deposit.
- When the tour cannot continue due to natural disaster, weather conditions, civil unrest , war, accident, government order , suspension of services by transportation or accommodation facilities, and other causes beyond the control of EXJ.
In this case, EXJ shall refund the client the tour fee already received excluding the charges which must be paid to the selected destinations as the cancellation fee, the penalty, etc, and the charge shall be paid by the deposit.
10. EXJ's responsibilities and exemptions
(1) We shall not be liable for any accident, loss or damage which the client might suffer as a result of the tour and the client agrees to release and indemnify the tour guide and us from and against any such claim in that respect. (as long as we perform its obligation in proper manner.)
(2) When EXJ has made arrangements with good faith to fulfill the client's requests for arrangement, the EXJ's obligations under a tour contract shall be deemed as being fulfilled. Thus, failing to make booking due to lack of vacancies or to meet the client's requests, etc. does not constitute any liability of EXJ as long as EXJ performed its obligations in a proper manner.
(3) EXJ is not liable for any negligent or willful act of suppliers of selected destinations, transportations, accommodations and other services, since they are independent contractors and are not agents or employees of EXJ.
(4) EXJ shall not be liable for client's damages due to such reasons as natural disaster, weather conditions, civil unrest, labor , war, accident, government order, and revision or cancellation of schedule due to transportation facilities and/or traffic congestion, and any cause beyond the control of EXJ and/or the tour guide.
11. Liability of clients
EXJ shall require the client to indemnify EXJ for losses caused by a client's willful negligence or fault.
12. Special note
EXJ strongly recommends the client to take out travel insurance.
13. Privacy policy
EXJ collects the personal information by following the compliance regulations and guidelines. EXJ uses the client's personal information to contact the client or/and to arrange tour services such as reservations of selected destinations.
After the tour, EXJ may ask the client to feedback the evaluation of the tour including the destinations, the tour guide, and overall EXJ's operation and services to improve the service.
